Tips for Success with MIBOR's Showing and Property Access System

MIBOR’s Showings and Property Access ecosystem is designed to facilitate secure, efficient appointment booking and showing experiences. To ensure every showing appointment is a success, listing agents have a critical role in making sure their listing is configured prior to accepting appointment requests. This process is quick and easy and will enable optimal use of the systems for sellers, buyers, and your fellow REALTOR® members! A configured listing provides detailed reporting for showing history and access, as the ability to track all communications regarding the showing and lock box access for auditing, when the BrokerBay mobile application is used to unlock the box.


Watch Video Step 1. There are a few different ways to start configuring showing settings. First, if there is a banner prompting configuration, click the View Details link OR click on the Configure Instructions button from the Tasks window OR click on the listing, the Showings tab, and finally the Showing Configuration button.


Step 2: Showing Settings. This section of the screen contains instructions specifically for administrators and sets the parameters for how showings will be processed. This includes a Minimum Showing Notice and Maximum Showing Duration.

1) Under “Who Should Approve Showings?” choose Seller or Contacts to Confirm if seller confirmation is required for showings. Select Auto-Confirm All Appts option to automatically send confirmation instructions to the showing agent with no further action required. Select Listing Agent to Confirm if the Listing Agent will process all showings.
2) The Admin Instructions box is only visible to administrators and must contain instructions as it is a required field; type “n/a” if there are no specific instructions.
3) The Add Vendor Instructions option opens up a secondary box used to give specific instructions to Seller.


Step 3: Showing Agent Instructions. This section of the screen contains information that will be included in the confirmation email or phone call sent directly to Showing Agents. This section should contain all access details required to enter the listing.

1) Under Access Type, click on the dropdown menu to choose how agents will access the property. 
2) In the instructions text box, type in any other pertinent pieces of information, like if animals are on the property. 
3) If there is an alarm, add the alarm code to the Add Alarm feature along with any other information needed to activate or deactivate the system.  
4) To the right, deselect any of “the usuals” that do not apply to the property. Any additional instructions can be added via the + Add Other field. 



Step 4: Manage Listing Contacts. Add any clients who require notifications or phone calls to this section via the Add Contact button. Once added, that client will be saved to your Contacts window in your Dashboard.     



Step 5 : Showing Availability and Restrictions. If there are time restrictions on the property, add them to this section as these restrictions will be reflected online to ensure appropriate booking times.  

1) To restrict times, turn entire days off via the OFF/ON toggle OR click and drag to select sections at a time.  
2) To Auto-Confirm certain days or times, select the Auto-Confirm option to the left and click and drag to select. NOTE: If Auto-Confirm option was selected during Step 1, the Auto-Confirm custom selector tool will not function and vice versa.  
3) If there are any Special Day restrictions, click the Special Days button followed by the green plus sign. 


 
Step 6: Press Save at the bottom of the screen.
