User Roles Within BrokerBay

A Managing Broker or Global Admin has the ability to update user roles for their employees within their office.  There are different roles that will be designated dependent upon the day to day operations and needs of the brokerage.

User Roles

  1. Agent- Licensed Real Estate Agent.  This role can view and manage their own listings and showings.  Their profile is designated through the BLC feed to ensure accuracy.
  2. Team Administrator- Licensed Agents or Unlicensed Administrators.  This role can manage listings and showings for their own team.  They do NOT have access to the Admin Queue or Admin Tab functionality for the brokerage.
  3. Branch Administrator Role- This role is usually used by large brokerages with sub-brokerages/branches.  They have the ability to action showings through the Admin Queue and view/manage listings through the Brokerage tab.  They can also access other user profiles through the Admin tab.  
  4. Global Administrator- This role is designated for the Managing Broker and Administrators.  They have full access to view and manage all data for the entire brokerage including sub-brokerages/branches.  

User Status

      

  • Active: A User that can successfully log into BrokerBay and access the platform without restrictions. You will see a green Active tag Screen_Shot_2021-06-22_at_9.29.48_AM.png  next to the User's name.
  • Inactive: A User that has had their profile deactivated on BrokerBay. This means that the User cannot log in (they will still be able to receive front desk chat messages). You will see a grey Inactive tag Screen_Shot_2021-06-22_at_9.29.24_AM.png beside the User's name.


Verified and Unverified Users

BrokerBay uses information from your board/MLS to verify a licensed agent's member number and information.

  • Verified: A licensed User whose member number, board designation, and office at board level match the information in their BrokerBay profile. A Verified user has the ability to use the platform to its full capabilities (unless their profile has been deactivated - Inactive). You will see a green check mark next to the User's member number.

  • Unverified: A licensed User whose details do not appear in your brokerage's data feeds. Although this user can successfully log in, they will have limitations on BrokerBay platform feature access meant for licensed agents as BrokerBay cannot verify the agent.
    Unverified Users will see a yellow alert icon next to their member number, and an orange Unverified tag

Usage and Limitations

An Unverified User will have limited access to BrokerBay's functionality, because they are not recognized as a licensed agent in the office with the entered member number.

  1. They will not appear in the Search Agent agent roster when booking showings or registering offers.
  2. They will not be able to book a showing or register an offer for themselves.
    **Note: Unverified Agents will see a modal telling them that they cannot complete these actions, while unverified licensed admins can still book a showing or register an offer on behalf of others (but not themselves).
  3. When calling the office to book a showing, these Agents will always have to be added as Custom Contacts and therefore receive confirmations by office (phone) and would require custom contact approval before any showings are confirmed.
